Email signature generator by email app
Same generator, with paste-in steps and answers for the app you use.
Add it to your email app
Gmail
- Click Copy signature above.
- In Gmail on a computer, open Settings (the gear), then See all settings.
- On the General tab, scroll to Signature, click Create new, name it, and paste into the box.
- Under Signature defaults, choose it for new emails and replies, then click Save changes at the bottom of the page.
Outlook
- In new Outlook or Outlook on the web, open Settings, then Account, then Signatures. In classic Outlook, go to File, Options, Mail, Signatures.
- Create a new signature, paste, and set it as the default for new messages.
- Save. Outlook may ask to keep the source formatting when you paste; say yes.
Apple Mail
- On a Mac, open Mail, then Settings, then Signatures, and pick your account.
- Click the plus button, then paste into the right-hand box.
- Untick "Always match my default message font" so your layout and colour are kept.
Thunderbird
- Click Copy HTML code above. Thunderbird's signature box takes code, not a pasted layout.
- Open the menu, then Account Settings, and pick your account.
- Tick "Use HTML" under Signature text, paste the code into the box, and close the tab. It appears in your next new message.
Mobile apps are a separate step. The Gmail app has its own mobile signature setting, which is text only, and Mail on iPhone can paste the signature but often drops the logo, so set it up on a computer first.
Common questions
What should a business email signature include?
Your name, your role, the business name, one phone number and the website. Four or five short lines is plenty. Skip inspirational quotes, long legal disclaimers and large banner images, which get clipped or flagged by spam filters.
Why does my logo not show up?
The logo has to be a public web address, usually an image already on your website, because email apps load it from there each time. A file on your computer or a private cloud link will appear for you and break for everyone else. Some recipients' email apps also hide images until they click "show images", which is normal.
Why does it look different in Outlook?
Classic Outlook on Windows draws emails with Word's engine, which ignores a lot of modern styling. This generator uses a simple table with inline styles and the Arial font family because that combination renders consistently in Outlook, Gmail and Apple Mail.
Can I use my brand font?
Not reliably. Email apps only show fonts installed on the reader's device, so a custom font would fall back to something else anyway. Use the accent colour for your brand and keep the typeface standard.
Does it work on my phone?
The signature you set in Gmail or Outlook on a computer is used when you send from the web version. The Gmail mobile app has a separate plain-text mobile signature, and Mail on iPhone handles pasted layouts inconsistently, so expect a simpler version from your phone.
Is this free, and do you keep my details?
Yes, it is free, and no. Everything runs in your browser and nothing you type is sent to us. The only things that leave the page are the logo address your browser loads for the preview and any message you choose to send us on WhatsApp.
Need a logo to go with it?
A clean logo, colours and a one-page brand guide, so your signature, website and signage all match.
